Axlespace is made by Axle Group Pty Ltd (ACN 701 744 229) (“Axlespace”, “we”, “us”). This policy explains what personal information we collect, why, who we share it with and how you can control it. It covers the Axlespace web app and this website. We handle personal information under the Australian Privacy Act 1988 and the Australian Privacy Principles.
1. Who this policy is for
Axlespace is used by organisations. What we hold depends on how you come to it.
- Organisation admins who set up offices, floor plans, people and booking rules.
- Staff whose organisation gives them access to book desks, rooms and car bays. Section 4 is written for you.
- Visitors to this website, including anyone who requests a demo.
2. What we collect
Information you or your organisation give us
- Account: name, work email address, team and role, and a password unless you sign in with Microsoft. An optional profile photo.
- Directory details: if your organisation connects Microsoft Entra ID, the name, email and directory details it chooses to share, so the people list stays in step with your organisation.
- Organisation: organisation name, logo, offices, floor plans, spaces and booking rules.
- Bookings: the desks, rooms and car bays you book, when, your usual desk, and when you check in or a booking is released.
- Website demo form: your name, work email, phone, organisation and headcount.
Information collected automatically
- Activity: an audit log of admin changes and sign-ins, kept so your organisation can see who changed what.
- Errors and performance: technical logs and error reports, used to keep the service running.
- Website cookies: see section 8.
3. How we use it
To run Axlespace for your organisation, to support it, and to improve the product.
- Run the service: show floor plans, take bookings, release no-shows, help colleagues find each other and send booking emails.
- Give your organisation's admins usage reports, measured from check-ins.
- Support your organisation and fix problems it reports.
- Reply to demo requests.
- Meet legal obligations, and enforce our Terms.
We don't sell personal information, and we don't use it for advertising.
4. If you're a staff member
Your organisation controls its Axlespace account. Here's what others can see.
- Colleagues can see where you're booked to sit on a given day and whether you've checked in, through Find my colleague and team views.
- Your organisation's admins can see your bookings and check-ins, and reports that include them.
- Your organisation is responsible for telling you that it uses Axlespace and for any notice workplace laws require.
- To access or correct your data, start with your organisation's admin. If that doesn't resolve it, email us.
5. Who we share it with

6. Overseas disclosure
Your account and booking data are stored in Australia. Email (Resend), website hosting (Vercel) are processed in the United States. By using Axlespace you consent to those disclosures. We choose providers bound by recognised data-protection commitments, but privacy laws in those countries differ from Australia's.

- No system is perfectly secure. If we discover a breach that's likely to cause you serious harm, we'll notify you and the OAIC as the law requires.
8. Cookies and tracking
This website
This website uses only the essential storage it needs to work, such as remembering your cookie choice. It runs no analytics or advertising trackers. If that changes, we'll ask first through the cookie banner, and you can change your choice any time using “Cookie settings” in the footer.
The web app
The Axlespace app uses cookies and local storage only to keep you signed in and remember your settings. It has no advertising trackers.
9. How long we keep it
- While your organisation uses Axlespace, we keep its data, including booking history, so its reports stay complete.
- When someone is removed from an organisation, their access ends immediately. Their past bookings stay in the organisation's history.
- When an organisation stops using Axlespace, we delete or de-identify its data within 90 days, unless the law requires us to keep it.
- Demo requests are kept while we're in touch with you, and deleted on request.
10. Your rights
- Access and correction: your profile is editable in the app. For anything else, ask your organisation's admin or email us.
- Deletion: ask your organisation's admin to remove you, or email us.
- Complaints: email us first and we'll respond within 30 days. If you're not satisfied you can complain to the Office of the Australian Information Commissioner.
11. Changes to this policy
We'll post any change here with a new “Last updated” date. For material changes, such as a new sub-processor or a new kind of data, we'll tell organisation admins at least 30 days before it takes effect.
